How to have information deleted — whether it is yours, or was collected about you by a business using Ash.

Two different requests, and which one you are making.
Deleting information from Ash means one of two quite different things, and the right route depends on which side of the service you are on. The Privacy Policy explains why: for a business that uses Ash we are the organisation responsible, and for that business's own clients we are only handling information on its instructions.
If you are unsure which you are, write to [email protected] and describe the situation. We would rather sort that out for you than have a request sit in the wrong inbox.
- You use Ash for your business
- You are asking us to delete your account and the information Ash holds for you. We can do all of it.
- You called, texted or messaged a business that uses Ash
- You are asking about information that belongs to that business. They control it, and the request goes to them — but we will help you reach the right place.
If your business uses Ash.
Write to [email protected] from the address on the account and ask for deletion. Say whether you want the whole account deleted or only part of it — a single client's records, the call recordings, an imported WhatsApp history — because we would rather delete exactly what you meant than everything you did not.
We will confirm what is about to be deleted before we do it, and confirm again once it is done. Deletion is not reversible and we do not keep a copy to undo it with, so the confirmation step is not a formality.
You can also remove much of it yourself without asking us. Disconnecting an account — your calendar, your mailbox, your CRM, your WhatsApp number — stops Ash reaching it and removes what Ash holds from that connection.
If you dealt with a business that uses Ash.
Contact that business directly. They decide what is collected about their clients and how long it is kept, and they are the organisation you have a relationship with. A request to them covers their CRM and their calendar as well as Ash, which a request to us cannot.
If you cannot reach them, or you do not know which business it was — an unfamiliar number called you back, and you would like to know why we have anything at all — write to [email protected]. We will identify the right business and pass the request on, or tell you plainly if we hold nothing.
We may need to verify who you are before we discuss or delete anything. Handing someone else's personal information to the wrong person, or deleting a business's records because somebody asked us to, are both worse outcomes than a short delay.
Disconnecting WhatsApp.
Removing a WhatsApp Business number from Ash deletes what that connection imported: the conversation history, the synced contacts, and the copies of messages sent from the owner's own phone. That happens within 30 days, and you do not need to ask us separately.
What it does not do is unsend anything or reach Meta. The conversations still exist in WhatsApp on the phones of everyone in them, and Meta holds its own copy under its own policies. Deleting from WhatsApp itself is a request to Meta, not to us.
What deletion does not reach.
Ash writes into systems you own, and it cannot reach back into them. This is worth stating plainly, because it is the part people are most often surprised by.
- Your CRM and your calendar
- Client records and bookings Ash created live in your own HubSpot, Follow Up Boss or Google account. They are yours, they stay when you leave, and deleting your Ash account does not remove them. Delete them there.
- Other people's copies
- An email that was sent is in the recipient's mailbox. A text that was delivered is on their phone. Deleting our record does not recall a message that has already arrived.
- Backups
- Deleted information can persist in encrypted backups for a short period before those rotate out. It is not restored to the live service and is not used for anything.
- What the law requires us to keep
- Billing and tax records are kept for the period Canadian law requires, and we may retain what we need to resolve a dispute or meet a legal obligation. Nothing in that category is used to provide the service.
How long it takes.
We respond to a deletion request within 30 days, which is the period PIPEDA sets, and in practice usually within a few working days. If a request will take longer than 30 days we will tell you why before that point rather than after it.
Call recordings are deleted after 30 days whether or not anyone asks, and imported WhatsApp history within 30 days of disconnection. Those run automatically and need no request.
If you are not satisfied.
You may complain to the Office of the Privacy Commissioner of Canada, or to the Office of the Information and Privacy Commissioner for British Columbia. Neither requires you to go through us first, though we would rather you gave us the chance to put it right.
